Tekkers FC CIC Membership Terms & Conditions

Club: Tekkers FC CIC (“Tekkers”, “we”, “us”, “our”)
Member/Parent/Guardian: the person responsible for registration, payments and communications (“you”, “your”)
Player: the child registered to attend Tekkers sessions (“player”)


1. About these Terms


1.1 These Terms apply to Tekkers FC CIC membership, training sessions, matches, events and club services, unless separate event, camp or activity terms are provided.

1.2 By registering a player and/or paying membership fees, you confirm you have authority to do so and you agree to these Terms.

1.3 Additional club policies, including safeguarding, codes of conduct, media guidance, behaviour expectations and communications standards, form part of these Terms.

1.4 Tekkers is a football development environment. Membership is based on regular attendance, commitment, communication, respect and support for the club’s values and standards.


2. Membership model


2.1 Tekkers membership is a monthly subscription that automatically renews each month until cancelled in line with these Terms.

2.2 Membership is charged per monthly membership period and is not a fixed “season price”.

2.3 A player’s place is only secured while membership is active and paid up to date.

2.4 Tekkers reserves the right to manage squad sizes, training groups, waiting lists, registrations and availability in line with club capacity, staffing, facilities and development needs.


3. Fees, billing and payment timing


3.1 Membership fees are paid monthly, one month in advance. Your payment secures the player’s place for the upcoming membership period.

3.2 Payments are taken by Direct Debit, recurring payment or another method confirmed by Tekkers.

3.3 You are responsible for keeping payment details up to date and ensuring sufficient funds are available.


Missed or failed payments

3.4 If a payment fails or becomes overdue, we may pause training access and/or match availability until the account is brought up to date.

3.5 Any reasonable payment provider charges or bank fees incurred by us due to repeated failed payments may be passed on to you where applicable.


Chargebacks and payment disputes

3.6 If you raise a chargeback or payment dispute, we may suspend participation while the matter is investigated. You remain responsible for any valid fees due under these Terms.


Price changes

3.7 We may review and change membership fees from time to time due to changes in operating costs, including facility hire, staffing, equipment, insurance, administration and club delivery costs.

3.8 If fees change, we will provide at least 30 days’ written notice before the new fee takes effect. The updated fee will apply from the start of the next billing period after the notice period.

3.9 If you do not wish to continue at the new fee, you may cancel before the change takes effect to avoid being charged the updated amount.


4. Cancellations

4.1 You may cancel membership at any time by submitting written notice via the club’s published cancellation process, such as email or an official messaging channel.

4.2 Unless we confirm otherwise in writing, cancellations take effect at the end of the current paid membership period.

4.3 If you stop a Direct Debit or recurring payment without providing written cancellation notice, you remain responsible for any fees due until cancellation is properly processed.

4.4 Fees are normally non-refundable once a membership period has started, except where required by law or where we agree otherwise in writing.

4.5 Once membership has ended, the player’s place, squad status, registration status and access to club communication channels may be removed.


5. Refunds and missed sessions


5.1 No refunds are issued for player absence due to holidays, school trips, illness, injury, lateness, external football commitments or other non-attendance.

5.2 If Tekkers cancels a session due to safety concerns, facility closure, weather or reasons beyond our control, no refunds, credits, replacement sessions or alternative arrangements will be provided. Membership fees remain payable as normal and contribute to the wider running and delivery of the club, including facility bookings, staffing, planning and operational costs, which continue even when a session cannot take place.

5.3 We do not guarantee that every player will be selected for every match. Match availability and selection may depend on training attendance, behaviour, squad planning, development priorities, player availability, team balance and suitability.

5.4 Missed sessions cannot be transferred to another player, carried forward, refunded or exchanged for another club service unless Tekkers agrees otherwise in writing.


6. Trials and places


6.1 Trials are offered at Tekkers’ discretion and do not guarantee a permanent place, ongoing membership, league registration, tournament selection or match selection.

6.2 We may offer or decline membership following a trial, including where squads are full, where availability is limited, or where behaviour, suitability or development standards are not aligned with the club environment.

6.3 Tekkers may place players into the group or squad we consider most appropriate for their development, age, ability, safety and team needs.


7. Registration and player information


7.1 You must provide accurate player information, including the player’s full name, date of birth, emergency contacts and relevant medical needs.

7.2 You must inform us promptly of changes to medical conditions, allergies, safeguarding information, emergency contacts, contact details, school information or anything that may affect safe participation.

7.3 You confirm you have the legal authority to register the player and consent to participation.

7.4 Tekkers may request additional information where required for safeguarding, registration, league requirements, club administration or player welfare.

7.5 Failure to provide accurate or updated information may affect the player’s ability to participate.


8. Health, safety and medical consent


8.1 Football involves physical activity and carries an inherent risk of injury. Players participate at their own risk.

8.2 You are responsible for ensuring the player is medically fit to participate and appropriately equipped.

8.3 In an emergency, you authorise Tekkers to seek medical assistance for the player. Any medical costs remain your responsibility.


Injury and return-to-play


8.4 If a player is injured or unwell, we may require them to sit out for safety. Where appropriate, we may request confirmation that they are fit to return, including medical advice. Our decision on safe participation is final.

8.5 Tekkers coaches may adjust, reduce or stop a player’s involvement during a session if they believe the player is unwell, injured, unsafe, distressed or not able to participate appropriately.


9. Behaviour standards, equality and safeguarding


9.1 Tekkers is a development environment. Players must follow coaching instructions, respect teammates, opponents, officials, coaches and venues, and behave appropriately.

9.2 Parents and guardians must follow our touchline standards and communicate respectfully with staff, coaches, officials, players and other families.

9.3 Abuse, discrimination, intimidation, bullying, harassment, threats, aggressive behaviour or conduct that damages the club environment is not tolerated and may result in suspension or termination of membership.


Equality and inclusion

9.4 We aim to provide an inclusive environment and do not tolerate discrimination or harassment on any protected characteristic. We may refuse or end membership where conduct conflicts with this standard.


Immediate removal for safety or safeguarding

9.5 We may remove a player, or require a parent/guardian to remove a player, from a session immediately where we believe it is necessary for safeguarding, safety, welfare or to protect the club environment.

9.6 Safeguarding concerns may be reported to relevant authorities, leagues, County FA bodies or other appropriate organisations where required.


10. Attendance, punctuality and venue responsibility


10.1 Players must arrive on time and be collected on time.

10.2 You are responsible for the player outside session times, including in car parks, changing areas, public areas and common areas before and after sessions.

10.3 Parents and guardians are responsible for all children in their care at the venue, including siblings, and must follow venue rules, parking instructions and staff direction.

10.4 Persistent late collection may trigger safeguarding procedures and/or reasonable admin charges where applicable.

10.5 Regular attendance is important to the player’s development, team chemistry, tactical understanding and squad planning.

10.6 Repeated non-attendance, late arrival or failure to communicate absence may affect squad status, match selection, league registration, tournament selection or continued membership.


11. Photography, filming, VEO and media use


11.1 Tekkers may photograph or film training and matches for coaching, analysis, education, safeguarding purposes and to celebrate player development. This may include the use of automated match cameras, such as VEO or similar systems.

11.2 By registering a player and participating in Tekkers activities, you acknowledge and accept that filming and photography may take place as part of normal club operations.


Publishing and sharing footage

11.3 Match footage may be shared privately or publicly. This can include full-match recordings and/or highlights, which may be published on platforms such as YouTube and used for club communications, coaching review and marketing purposes, in line with our safeguarding-led approach.


Opt-out and practical limits

11.4 If you wish to opt out of your child being featured in identifiable public content, you must notify us in writing. We will take reasonable steps to comply, including avoiding featured clips and thumbnails.

11.5 You acknowledge that wide-angle match filming may capture players incidentally. When an opt-out is submitted, we will take reasonable steps to avoid featuring the player intentionally, but we cannot guarantee complete exclusion from wide-angle match footage.


Parent filming

11.6 You must not publish footage or images of other children in a way that breaches safeguarding, privacy, club standards or brings the club into disrepute. If asked by Tekkers to remove content for safeguarding, privacy or club welfare reasons, you must comply promptly.

11.7 Parents and guardians must not use Tekkers footage, images, match content or training content to promote another club, team, academy, private coaching programme, business or activity without written permission from Tekkers.


12. Kit, equipment and personal property


12.1 Players must wear appropriate football kit, shin pads and suitable footwear for the playing surface.

12.2 Tekkers may require specific kit for matches, tournaments, events or club activities.

12.3 Players bring personal items at their own risk. We are not responsible for loss, theft or damage to personal items, including phones, watches, jewellery, clothing, boots and valuables.

12.4 Players may be refused participation where they do not have required safety equipment, including shin pads.


13. Data protection and communications


13.1 We process personal data to operate the club safely and effectively, including registration, payments, communications, safeguarding, coaching records, player development, attendance and operational administration.

13.2 We handle personal data in line with applicable data protection laws and our internal privacy approach.

13.3 You agree that club communications may be sent via email and/or official messaging channels, including group announcements.

13.4 You must keep your contact details up to date so that we can send important club information, including session changes, payment information, safety updates, cancellation notices and membership communications.

13.5 Tekkers communication channels are for Tekkers purposes only. They must not be used for unrelated promotion, recruitment, advertising or private organisation without written permission from Tekkers.


14. External football commitments, attendance and communication


14.1 Tekkers respects that players may take part in football outside of Tekkers, and that families may explore different football opportunities they believe are in the best interests of their child.

14.2 Tekkers membership is not intended to prevent players from training, trialling or playing elsewhere. However, Tekkers is a structured development programme, and regular attendance, communication and commitment are important to the player’s progress, team chemistry, squad planning and the wider club environment.

14.3 Parents/guardians must inform Tekkers if the player has regular football commitments elsewhere that are likely to clash with Tekkers training sessions, matches, tournaments, team events or development plans.

14.4 Where external football commitments regularly clash with Tekkers sessions or fixtures, Tekkers may review the player’s squad status, match selection, training group placement, league registration, tournament selection or continued membership.

14.5 This section is designed to support communication and planning. It is not designed to stop families from making their own football decisions.


15. Club environment, recruitment boundaries and fair use of Tekkers access


15.1 Tekkers recognises that parents and families will naturally speak to each other about football, share experiences, recommend clubs, and make decisions about what they believe is best for their child.

15.2 Nothing in these Terms is intended to stop normal parent-to-parent conversation, genuine friendship, general football discussion, or a family’s right to leave Tekkers or join another club.

15.3 However, Tekkers does not permit any parent, guardian, coach, volunteer, member or connected person to use Tekkers membership, training sessions, match days, tournaments, parent groups, WhatsApp groups, Spond groups, contact details, club communications, club media, club events, sideline access, player relationships or club trust as a platform to actively organise, promote, recruit for or build another football team, club, academy, private coaching programme, business or competing activity.

15.4 This includes organised or repeated approaches to Tekkers families through access gained from being part of Tekkers, especially where this disrupts team stability, attendance, squad planning, trust or the club environment.

15.5 Any misuse of Tekkers access, communication channels, parent relationships, player information, club media or club trust for recruitment or promotion of another football activity may be treated as a serious breach of these Terms.

15.6 This section applies while a player or family is an active Tekkers member and, where relevant, after membership ends in relation to any contact details, player information, club media, club trust, relationships or access obtained through Tekkers.


16. Conflict of interest


16.1 Any parent, guardian, coach, volunteer, member or connected person who is actively involved in setting up, managing, coaching, promoting, recruiting for or operating another football team, club, academy, private coaching programme or similar activity that may create a direct conflict of interest with Tekkers should declare this to the club.

16.2 A conflict of interest may include, but is not limited to:

  • using Tekkers sessions, match days, tournaments or parent relationships to recruit families into another football activity;
  • creating or promoting a competing team using relationships formed through Tekkers;
  • using Tekkers communication channels, parent groups or contact details for another football project;
  • disrupting team stability, attendance, squad planning, team chemistry or club trust;
  • acting in a way that undermines Tekkers, its teams, its programme or its reputation.

16.3 Tekkers does not treat ordinary parent conversation, friendships or general football recommendations as a conflict of interest on their own.

16.4 Tekkers reserves the right to review, suspend, refuse renewal or terminate membership where a conflict of interest is serious, undeclared, repeated, disruptive or negatively affects the club, the team environment, the players, the parents, the coaching programme or the wider Tekkers development environment.

16.5 Where possible, Tekkers will aim to resolve conflict of interest concerns through communication first. However, Tekkers reserves the right to act immediately where the matter is serious, ongoing, damaging or disruptive to the club environment.


17. Use of Tekkers contacts, groups, information and communication channels


17.1 All Tekkers WhatsApp groups, Spond groups, parent groups, email communications, contact details, player information and club communication channels are provided strictly for Tekkers purposes only.

17.2 Parents, guardians, players, coaches, volunteers, members and connected individuals must not copy, export, share, pass on or use Tekkers parent contact details, player information, child information, attendance information, medical information, images, videos, registration details or communication records for any non-Tekkers purpose without written permission from Tekkers and, where required, appropriate consent from the parent or guardian.

17.3 Tekkers communication channels, parent groups and contact details must not be used to promote, advertise, organise or recruit for any external football team, club, academy, business, private coaching programme or activity without written permission from Tekkers.

17.4 Unauthorised use of Tekkers communication channels, parent contact details, player details, club relationships or player information may result in removal from club communication groups, review of membership, suspension, termination of membership and/or further action where appropriate.

17.5 Former members, parents, guardians, coaches, volunteers or connected individuals must not continue to use Tekkers communication channels, contact details, player information, club media or club access for non-Tekkers purposes after leaving the club.


18. Tekkers name, branding, media and reputation


18.1 The Tekkers name, badge, kit, photographs, videos, player images, team images, training content, match footage, social media content, club reputation and any reference to Tekkers players must not be used to promote another club, team, football programme, private coaching group, academy, business or activity without written permission from Tekkers.

18.2 This includes using Tekkers images, videos, player photos, team photos, training footage, match footage, club references, club achievements or club identity to promote another organisation or football activity.

18.3 Any unauthorised use of Tekkers branding, media, images, footage, name or reputation may result in further action being taken by the club.


19. Player registration, squad status and match selection


19.1 Tekkers is a development-focused football club. Membership does not guarantee league registration, match selection, tournament selection, equal playing time, starting position, continued placement within a specific squad or future team placement.

19.2 Selection and squad decisions are made by Tekkers and the coaching team based on factors including, but not limited to:

  • training attendance;
  • attitude;
  • effort;
  • behaviour;
  • development needs;
  • team balance;
  • tactical requirements;
  • player availability;
  • commitment to the programme;
  • communication from parents/guardians;
  • external football commitments;
  • and the best interests of the player, team and wider group.

19.3 Tekkers reserves the right to change a player’s squad status, training group, match involvement, registration status or tournament availability where this is considered appropriate for the player, the team or the club.

19.4 If a player regularly misses Tekkers sessions or fixtures due to other football commitments, this may affect their match selection, squad status, tournament involvement, league registration or continued membership.

19.5 League registration, tournament selection and match involvement remain at the discretion of Tekkers and may be reviewed at any time.


20. Changes to sessions, venues, staffing and structure


20.1 We may change session times, venues, coaches, formats, group structures or schedules where necessary for quality, safety, availability, operational reasons or facility requirements.

20.2 We will provide reasonable notice where practical.

20.3 Tekkers may merge, split, pause, close or restructure training groups or teams where required for player development, staffing, venue availability, league requirements, squad size or club operations.

20.4 A player’s training group, match squad, age group, team placement or development pathway may change where Tekkers considers this appropriate.


21. Membership review, suspension or termination by Tekkers


  • Tekkers access, sessions, communication channels, parent groups, contact details, player information, club media or club trust are misused to actively organise, promote, recruit for or build another football team, club, programme or competing activity;
  • a serious, undeclared, repeated or disruptive conflict of interest is created with Tekkers;

21.2 For serious issues, we may act immediately. For non-urgent issues, we will usually communicate concerns and expectations first.

21.3 Termination due to misconduct, breach of terms, conflict of interest, misuse of club access, misuse of communication channels or non-payment is normally without refund.

21.4 Tekkers may remove a parent/guardian or connected individual from WhatsApp groups, Spond groups, team communication groups, match day communication groups or other club channels where it is necessary to protect the club environment, communication standards, safeguarding, privacy, team stability or club operations.


21.5 Where Tekkers believes there has been a serious breach of these Terms, misuse of Tekkers access, misuse of club communication channels, misuse of player or parent information, unauthorised recruitment activity, unauthorised use of Tekkers branding/media, or conduct that damages the club environment, Tekkers may take further reasonable action to protect the club.

21.6 Further action may include, but is not limited to:

  • issuing a written warning or formal cease-and-desist request;
  • removing access to WhatsApp groups, Spond groups, parent groups, club communication channels or club events;
  • requiring the person to stop using Tekkers contact details, player information, club media, images, videos, branding or relationships obtained through Tekkers;
  • requiring deletion or return of any Tekkers information, contact details, images, videos or communication records used or held without permission;
  • reporting concerns to the relevant league, County FA, safeguarding body, venue provider, regulator or other appropriate authority;
  • seeking recovery of reasonable losses, costs or damages where Tekkers has suffered financial loss, reputational damage, operational disruption or other legally recoverable loss as a result of the breach;
  • seeking legal advice and, where appropriate, taking legal action to protect Tekkers’ rights, reputation, confidential information, data, club environment or business interests.

21.7 Tekkers will not apply automatic fines or disproportionate penalties. Any recovery sought by Tekkers will be limited to losses, costs, damages or remedies that are reasonable, proportionate, evidenced and legally recoverable.

21.8 Where a breach involves personal data, child information, safeguarding information, medical information, contact details, images, videos or communication records, Tekkers may treat the matter as a serious privacy, safeguarding and/or data protection concern.

21.9 Nothing in these Terms prevents Tekkers from seeking urgent legal protection, including an injunction, where it reasonably believes immediate action is necessary to prevent serious harm, misuse of data, misuse of confidential information, reputational damage, safeguarding risk, or ongoing disruption to the club.


22. Liability


22.1 Nothing in these Terms limits liability where it cannot legally be limited, including for death or personal injury caused by negligence, or fraud.

22.2 Subject to clause 22.1, Tekkers is not liable for indirect losses, including travel costs, missed activities, third-party costs, lost opportunities, emotional distress or inconvenience.

22.3 You remain responsible for ensuring the player participates safely and appropriately.

22.4 Tekkers is not responsible for loss, theft or damage to personal belongings brought to sessions, matches, tournaments or events.


23. Force majeure


23.1 We are not responsible for failure or delays caused by events beyond our reasonable control, including extreme weather, facility closure, emergency restrictions, health and safety issues, staff disruption, venue restrictions, public authority decisions or serious operational disruption.

23.2 Where possible, we will communicate updates promptly via official club channels.

23.3 Where an event outside our control affects delivery of a session, membership fees remain payable unless Tekkers confirms otherwise in writing.


24. Complaints and queries


24.1 Complaints must be submitted in writing via the club’s published contact method.

24.2 We aim to acknowledge complaints within 7 days.

24.3 We aim to provide a written response within 7 days of acknowledgement. Where the matter is complex, we will update you on expected timelines.

24.4 Safeguarding concerns are handled under safeguarding procedures and may be escalated to relevant authorities where required.

24.5 Complaints must be raised respectfully. Abusive, threatening or aggressive communication may itself be treated as a breach of these Terms.


25. Updates to these Terms


25.1 We may update these Terms from time to time. The latest version will be published on our website and will apply from the stated “Last updated” date.

25.2 Where changes are material, such as fees, we will provide notice as stated in these Terms.

25.3 Continued membership after updated Terms take effect will be treated as acceptance of the updated Terms.


26. Legal


26.1 If any part of these Terms is found unenforceable, the remainder will continue in full force and effect.

26.2 These Terms are governed by the laws of England and Wales, and the courts of England and Wales will have jurisdiction.

26.3 Nothing in these Terms affects any statutory rights that cannot legally be excluded.


27. Contact


For cancellations, payment queries, media opt-outs, complaints, safeguarding concerns or official communications, contact Tekkers via the club’s published email or official messaging channel.


Parent/Guardian Declaration

By registering a player, signing a membership form, completing an online registration, submitting payment details or paying membership fees, I confirm that:

  • I have read, understood and agree to the Tekkers FC CIC Membership Terms & Conditions.
  • I understand that Tekkers is a structured football development programme and regular attendance is important.
  • I agree to inform Tekkers if the player has regular football commitments elsewhere that may affect Tekkers training, matches, tournaments or team events.
  • I understand that membership does not guarantee match selection, league registration, tournament selection, equal playing time or continued placement within a specific squad.
  • I understand that normal parent conversation, friendship and family choice are respected, but I agree not to misuse Tekkers training sessions, match days, parent relationships, player relationships, WhatsApp groups, Spond groups, contact details, club communications, club media or club access to actively organise, promote, recruit for or build another team, club, academy, football programme or activity.
  • I agree not to use the Tekkers name, badge, images, videos, player photos, team photos, media content, footage or club reputation to promote another organisation without written permission.
  • I understand that any breach of these Terms may result in a review, suspension, refusal of renewal or termination of membership.
